Victoria Minis Car Club

Victoria Mini Club has undertaken to help out with various events at Mini Meet West 2010.  We still need volunteers in these areas, so if you can give a little of your time, it would be appreciated.  You don't necessarily need to attend the show to help out in the next few months.  (Thanks to Mike for this page)

MMW2010 Volunteer Opportunities: 

Funkhana

We will be creating the course, laying it out and running the race, and presenting the awards. We will need help in coming up with the ideas,  designing the course, laying it out here in Victoria and testing it. Then we will need people to help acquire or build any of the props required and transport them to Penticon in our huge cars! In Penticton we will need people to take turns working on the funkhana course during the day, likely one to two hour shifts.

Registration

We have to build a database, and then handle all incoming registration information. The database is designed to print out name badges, car cards, orders for t-shirts, and registration bag labels. As the registrations come in Mike Smith will be handling this and printing out the required documents to put into bags. We also need to stuff the goody backs with this info as well as all the donated stuff, and the t-shirts that have been ordered. This will happen in advance of the show, as well as on the Sunday just before the show in Penticton.  In Penticton we will be running the registration room on Monday from 3:00 to about 7:00, where we will have to greet people as they arrive, and hand out the goody bags and registration packages.  We will also have to deal with any walk in registrations and handle any problems. We will need about 6 or more people for that time. Registration will continue the next morning at the car show in the park across from the hotel, where we will do the same thing from around 8:00 to 10:00.. then we are done!

Finances

Terry and Mike are looking after all the incoming and outgoing money and reporting back to the other two clubs. Each area will be given a budget to spend and they cannot go over without approval from all clubs. All receipts need to be kept and handed in for payment.

Program Book

The program details out all the activities, the what, when, where of all the events, plus has all the adverts from the sponsors. We are laying out the book and getting it printed. Content is being supplied by various people, and we have to nag to get it done in time! You can help by offering to write stuff as required and work on the layout as well as getting any sponsorships or paid ads, although the prime responsibility for sponsorship is the Vancouver club.

Kids stuff

When we know how many kids and what ages they are we need someone to go out an buy stuff for kids goody bags, and if there are enough kids organize some fun things for them to do at the meet in Penticton, and do these events while we are in Penticton.

Car Wash station.

We will be setting up a car wash station at the hotel, so someone needs to gather up car washing stuff to take along and set it out at the hotel. We did get this stuff donated last time from Canadian Tire, so it would be good to try this again…
